Solution Provided

We integrated Timecheck Software with their hardware device & enabled them to automate payroll processing by generating attendance reports. In specific, the regularized attendance data which they needed to automate was provided by creating a special report which tracks both, the absent marks for the employees and the non-approval requests of Leave / Late entry / On Duty etc. with status. On approval this the days will get automatically added into the next payroll as a separate value.

Client requirement was auto allocation of shift by department head, a special provision they would like to have in Time check Attendance tracking software. They were in need of a monthly report where they could check employees daily shift based attendance, leave & on-duty request approval availability for absentees. They will do monthly payment for the workers only based on this shift allowances report.

Solution Provided

The software application by default will check the employee shift in punch, if the punch is equal to, greater than or 15 minutes below shift start time then it will auto allocate the appropriate shift to the employee. We customized the employee shift allocation module and gave them the monthly report they asked for with details of shift attended by each employee on each date and for all other employees who haven’t attended the allocated shift the system by itself will update as Absent / Leave.

We provided timecheck Employee time & attendance tracking software with comprehensive features to keep track of massive no of employee punctuality. The web based software was upgraded to match the client / Industry need.

We especially tailor-made the software to match their exact need, HR Manager/ admin in charge can now allocate the Labour as few Normal Workers, Skilled Workers and Supervisors, all three will be shuffled properly in a required strength based on the production for each shift. We designed the reports to capture data of employees who are not reporting on time to the shift allocated as well they can also get the total no of times the deviation has happened in a month. As per the Organization Policy one time in a month was allowed & for every 3 instances 0.5 CL will be deducted from their leave Quota.

They need provision to transfer the worker from one contractor to another contractor, though they are inside the same industry they will work for various contractors within various duration’s.

  • We specifically designed the software with exclusive report template for reporting the shift in details of their contract labors which carries the following details like Image of the labor / labor Code / Department they need to work for the day / Day Reported Time / Late Mins if any.
  • We included New contractor module which provides the facility to update the Contractor details along with the provision to map the contract labors respectively to the Contractor code.

The client requirement was to customize the time & attendance tracking software application to avoid payroll discrepancies & last minute workload beforehand. It must facilitate client to segregate employee wise attendance data on day to day basis, receive notifications of approval pending status and employee compensation quota generation based on employee request.

Solution Provided

Timecheck software application was customized as per clients need, a new e-mail triggering template was created for every employee. This template will provide details of employee Shift-In and shift-Out punch timings of previous day. If any employee has missed either shift in or shift out means, the trigger mail will direct him to raise the manual time entry immediately.

E- mail Trigger Option

On receiving a manual entry, the application will trigger a mail to the respective approval authority, he will be having a direct link to the approval screen for the same request. On receiving approval, mail will trigger to employee.

Notification to approval authority

Newly included Notification module notifies the approval authority about individual employees leave, Permission & On duty approval pending status. In fact, all the approval authorities will be getting notifications in the top right corner of the application & this will facilitate them to do it then & there without delays.

Quota for Comp-off days generation

The application is upgraded with a module where employee need to raise a request for Holiday and weekly off Worked days to get a compensation quota.

Business Requirement

They were in need of custom solution to effectively handle their employee Time & Attendance. In specific, they asked for

  • Early & late hrs calculation exception provision for all employees in particular on Saturdays & Mondays.
  • Attendance discrepancy approval need to be got approved systematically from their respective department authority with appropriate reason.
  • Encasement leaves available should not be utilized in full and always 15 days need to be maintained as the minimum balance.
  • Half Pay Medical Leave no’s availed by employee should be doubled automatically and calculated.

Solution Provided

We incorporated the specific rule of permitting 1.5 hrs late on Monday Shift in and 1.5 hrs Early Exit on Saturday Shift out for the employees and as by week they need to meet the work hrs.

Discrepancy module is developed with predefined reasons, individual can raise discrepancy request by selecting the appropriate reason, attendance punch missed by employee for a particular day will automatically get segregated under 3 types (Under Late / Early / Missing) and on approval by authorities it will be updated.

Every year each employee will get few days under encasement leave, system will allow them to utilize it twice in a year and at the same time a minimum of 15 days need to be left in their leave quota.

We incorporated their rule in leave module function and if 1 Half Pay Leave is applied under general category then 1 single day and if applied under medical 2 days will be reduced from the HPL Quota.
